For managers with multiple buildings and mandates: the outsourced ventilation maintenance under control

You manage properties for several clients, each with its own ventilation installations and its own due dates. You outsource the maintenance to contractors — the responsibility for it stays with you and your owners. equova gives you one record standard across your entire portfolio: you control, per mandate, which maintenance is due, open or documented, and you pull a clean report for every client — without one mandate leaking into another.

Several clients, many installations — and the proof sits with the contractor

The more buildings you manage, the harder the maintenance is to oversee. A property manager's typical reality:

  • One spreadsheet per building, no shared status. Concepts and due dates live in separate files, go stale unnoticed and cannot be compared across the portfolio.

  • The proof sits with the contractor, not with you. What was actually maintained lives in the contractor's system or in a PDF invoice. «Since the invoice … seemed very high to me, I … asked for access. But he only sent me an invoice with the line item ‹maintenance … with scope …›» (forum.mietrecht.de, 2016) — across an entire portfolio, exactly this gap in proof becomes a risk.

  • A change costs knowledge. When the contractor is replaced, or a building moves to another manager, the knowledge moves with it — concept, history and proof are gone.

  • Control towards the client is missing. Your owners expect evidence that the maintenance they paid for was performed properly. Invoice against assertion is not evidence.

One record standard across your entire portfolio

  • All mandates in one login, cleanly separated You run each owner as a separate Organization and switch between mandates through an organisation switcher — instead of maintaining a separate login per client. Properties carry a client label, so within one management you group and filter by mandate. Proof: multiple-organisation membership and the role model (Owner, Administrator, Engineer, Technician) keep every access strictly separated by Organization.

  • A portfolio dashboard that shows, per mandate, what is open Across all Properties, you see at a glance which Maintenance order is planned, due, overdue or documented — broken down by Property and, for managers, groupable by client label. Proof: the owner dashboard generates the Maintenance orders automatically from the Maintenance concept along the SWKI BT104 intervals and tracks the due dates.

  • A report per client — without other mandates leaking in For each owner you pull a revision-proof proof report, selectable by Property, Installation or mandate: per order the status, date and executing contractor, per Component the proof with photo, checklist result and condition rating. Proof: the report is limited to the selected client label — no other mandate appears in it.

A dozen similar installations in minutes

Managers often run many buildings with similar building technology. Instead of building each concept by hand, you create it once as a Template and apply it across several Installations and Properties. You take over existing Excel concepts via CSV import: guided column mapping, a validation preview with flagged error rows, confirmation before writing — valid rows go through, faulty ones are returned with a reason to fix. That brings a portfolio to standard without starting from scratch.

Frequently asked questions from property managers

Can I keep several mandates cleanly separated?
Yes. You run each owner as a separate Organization and switch between them through an organisation switcher; after the switch, equova shows only the data of the active mandate. Within one management, you additionally group by the client label per Property. Reports and dashboards stay separated per mandate — no leaking.
Can I import our existing concepts?
Yes. You take over Properties, Installations and Maintenance concepts via CSV import from your existing Excel files. The import guides you through column mapping and a validation preview; valid rows are imported, faulty ones are listed and returned as a file to fix. A sample CSV is provided.
What does equova cost per installation?
Pricing is tiered by managed installations, not by users — seats are unlimited. Start CHF 59/month (CHF 590/year, up to 5 installations) · Portfolio CHF 149/month (CHF 1490/year, up to 25 installations, RECOMMENDED) · Verwaltung CHF 349/month (CHF 3490/year, up to 100 installations).
